Student Privacy Rights and Community Standards 

This policy outlines the procedures for redacting information and maintaining confidentiality in the college conduct process to protect the privacy of individuals involved while ensuring a fair and transparent process. 

Confidentiality of Information 

  • All records, reports, and proceedings related to student conduct cases are confidential and shall only be shared with authorized individuals.  

  • Information will be disclosed only as necessary to carry out the conduct process, comply with legal requirements, or as permitted by institutional policies and applicable laws, including, but not limited to, Family Educational Rights and Privacy Act (FERPA), Title IX regulations, etc.  

  • Individuals participating in the conduct process are prohibited from disclosing details of cases to unauthorized parties. 

Redaction of Information 

  • Personally identifiable information (PII), including but not limited to names, student identification numbers, addresses, and contact details, will be redacted from publicly available reports and records.  

  • Sensitive information, including medical records, disciplinary history unrelated to the current case, and third-party information, will be removed or anonymized to protect privacy.  

  • Redacted documents may be provided to involved parties when required for due process, ensuring that only relevant and non-sensitive information is disclosed. 

Access and Disclosure Restrictions 

  • Students involved in the conduct process have the right to access their own records, subject to redactions necessary for protecting the privacy of other individuals.  

  • Conduct officers and designated Rhodes administrators will have access to unredacted records strictly for case management purposes.  

  • Third parties, including parents, legal representatives, and the media, will only receive information in compliance with the Student Privacy Rights policy, FERPA, and other applicable laws. 

Violations of Confidentiality 

  • Unauthorized disclosure of conduct records or information may result in disciplinary action. 

  • Any concerns regarding breaches of confidentiality within the conduct process should be reported to the Office of Community Standards by emailing communitystandards@rhodes.edu
